Planning a company event often lands on someone who already has a full-time job. The venue search, budget, food, drinks, entertainment, guest communication, and event-day schedule still need an owner.
We built a free AI Corporate Event Planner skill to help with that work.
The skill is made for organizations with 10 to 500 employees. Give it your location, employee count, expected attendance, budget, date, purpose, and event format. It turns those details into a practical planning package you can review with leadership, venues, and vendors.

The download is more than a single event checklist. It gives Claude Agent a structured process for planning corporate events from the first brief through the post-event review.
It can create:
A one-page event brief with the purpose, audience, constraints, and success measures
Budget options that reconcile with the approved total
Location-specific venue and vendor research from official sources
A ranked venue shortlist with capacity, policies, contact routes, risks, and pricing status
A guest journey from invitation through departure
Catering, beverage, AV, production, entertainment, accessibility, transportation, and safety plans
A planning timeline with deadlines, owners, dependencies, and consequences if something is late
A minute-by-minute run of show with technical cues and backup actions
Draft invitations, reminders, staff briefings, vendor briefings, and follow-up messages
Weather and operational contingency plans
Measurement and post-event review plans
The plan changes with the event. A dinner for 14 employees does not need the same staffing, registration, production, or approval process as a 400-person sales kickoff.
The minimum prompt asks for:
Location
Employee count
Expected attendance
Total budget
Date or date window
Purpose
Format
Those inputs provide enough context to create a useful first plan. If an important detail is missing, the skill asks for the highest-impact answer first instead of sending a long questionnaire.
A simple starting prompt looks like this:
Plan a corporate event in [LOCATION] for a company with [EMPLOYEE COUNT] employees and a total budget of [BUDGET AND CURRENCY]. Ask me the most important missing question first, then build the plan.
Venue and supplier pricing can change based on the date, attendance, room, menu, staffing, equipment, and contract terms. Many event businesses do not publish complete pricing.
The skill uses an exact amount only when it comes from a current official source or from information you provide. If it cannot verify a price, the line is labeled Quote required.
It then gives you:
The venue or supplier's official website
An official inquiry page, email address, or phone number
The information needed for an accurate quote
Questions about minimums, taxes, service charges, gratuity, deposits, overtime, insurance, and cancellation terms
That makes the proposals easier to compare because each supplier is asked to price the same scope.
Our test prompt described a Tuesday evening company party in West Palm Beach for 14 employees with a $5,000 all-in budget. The budget needed to cover food, two drink tickets per person, and entertainment or an entertaining venue.
The skill produced:
A recommended event concept
A budget with category caps and contingency
Official-source venue research
A ranked shortlist led by an activity venue
A guest schedule
A planning timeline
A minute-by-minute run of show
A supplier quote request
Weather, attendance, accessibility, and alcohol-service contingencies
It did not claim that a venue was available or invent a group-event price. Those items remained marked for direct confirmation.
The skill researches and drafts. It does not contact a venue, submit an inquiry form, reserve a date, sign a contract, purchase a service, send an invitation, or publish anything without approval.
That boundary matters. An event plan should help a person make decisions, not make commitments on the person's behalf.
